1. Job Purpose

● Overview: The Spare Parts Executive is responsible for managing the offers as per customer / Service RFQ, ordering, and distribution of spare parts for the company's products or equipment. This role acts as the primary liaison between customers, Regional Offices, Warehouse and internal teams to ensure efficient and timely delivery of spare parts and follow up for recovery.

2. Key Responsibilities

Inventory Management:

- Monitor and analyses spare parts inventory levels to maintain optimal stock levels.

- Conduct regular stock audits and reconciliations to identify discrepancies.

- Coordinate with the procurement team to place orders for replenishing spare parts stock.

Customer Service:

- Respond promptly to customer inquiries and requests for spare parts.

- Provide accurate information on part availability, pricing, and delivery timelines.

- Resolve customer complaints or issues related to spare parts in a professional and timely manner.

Inward Management:

- Establish and maintain relationships with Purchase & Cross functional teams.

- Attend daily standup meetings with Procurement & Warehouse and update internal MIS.

- Evaluate the daily requirement and follow up with Cross functional teams.

Order Processing and Fulfilment:

- Receive and process spare parts orders accurately and efficiently.

- Coordinate with the warehouse team for swift order picking, packing, and shipping.

- Ensure proper documentation and tracking of orders from placement to delivery.

Data Management and Reporting:

- Maintain accurate and up-to-date records of spare parts orders and respond customer.

- Generate reports on key performance indicators (KPIs) such as inventory turnover, lead times, and order fil rate.

- Identify opportunities for process improvements and cost optimization

3. Required Qualifications

Education:

Graduation or Engineering Diploma + (Diploma in Supply Chain Management / MM / WM)

Conversant in English, Hindi, Oriya.

Experience:

Min 5 years of experience in spare parts handling, warehouse management, or after-sales support in the construction equipment, automotive, or industrial sector.

Certifications/Licenses:

Proficiency in ERP systems for inventory management

Proficiency with MS Office (Excel, Word, Outlook).
